DULLES SHRM BOARD MEETING MINUTES

Agenda:
The meeting was called to order at 6:05 pm.

Minutes:
Denise Henderson moved and Kimberly Esch seconded the approval of the minutes for February 2006. The motion passed unanimously.

Treasurer:
Sarah Cower discussed the issue of "no shows" -- defined as folks who registered but didn't attend. She presented an analysis of the amount of money outstanding from these. This definition may need to change for this year as we deal with credit card prepays and the like. We need to get in touch with these folks ASAP. Amy Lourenco recommended that for special events like the HR Executive event we do pre-paid only as the number of no shows for this event far exceeded regular meetings. We discussed whether to move toward a required pre-payment for all events. We decided to track our progress against no shows for a few months and revisit the issue in SEPTEMBER.

SIG
Cindy Loison reported that the telecommute discussion led by Mary Walter Midkiff was excellent. She presented the schedule for 2006 with a total of 5 planned and 5 left TBD so the SIG can continue to be used as a just-in-time tool. We discussed the reasons why some folks do not attend SIGs (too early, too busy, too far). Cindy Loison will send a list of SIG attendees to Denise Henderson & Joseph Gregory for comparison against our membership roster. We will then reach out (via MailerMailer) to non-members who attend SIGs to invite them to other events and to join. Cindy Loison reported that the database is working OK for her purposes, allowing on-line registration for events. She discussed the timing issue of getting the registration list to both the facilitator and the location sponsors. Having a committee (BJ Johnston and Wistaria Krigger) is helping to spread the load.

Website
Denise Henderson reported that vastly more updates are being sent to Andrew than anticipated. She attributes this to database bugs as we roll out our new system as well as new Board members reviewing and revising old materials. She identified Dreamweaver (a software package) that would enable her to make many of the changes herself, at a savings of money and turnaround time. The package is $399 (or $199 for non-profits). [Maggie Chan agreed to look into the process involved with being declared non-profit so that we can get a tax-exempt certificate.] We would purchase it as an organization and let them know that we might need to uninstall/reinstall as Board members change.

Mary Saily moved and Cindy Loison seconded a motion to approve the purchase of Dreamweaver Software, not to exceed $399 + tax. The motion passed unanimously.

HR Leadership Awards
These reward outstanding HR accomplishments for a variety of company types and sizes. The event is held in June at the McLean Hilton. We have sponsored in the past (several years ago), but the sponsorship was much less expensive. The least expensive sponsorship this year is $1,500. We discussed what our members would get out of our sponsorship (seats to event, how would we distribute, what value, etc.) and what our "presence" would afford us.

Amy Lourenco moved and Denise Henderson seconded a motion to sponsor the HR Leadership Awards at the $1,500 level. No members were in favor; therefore the motion was defeated unanimously.

Membership
Andrea Evans reported that approximately 175 postcards were sent reminding folks to rejoin the Chapter. We have a total of 123 members broken down as follows: 98 registered and paid; 8 registered but not paid; 25 paid but not registered. Membership is still working with National SHRM to reconcile with them. Andrea Evans believes that Lynn Padgett contacted the folks who have paid but not registered. We will be announcing March 31st at the cut-off for inclusion in the membership directory. In order to be included, individuals must be both registered and paid.

Sponsorship
We have confirmed sponsors for March, April & May. The committee is targeting companies that advertise in publications such as HR Magazine and Workforce Magazine by contacting local offices of those firms. Denise Hartman will send the sponsorship package to each Board member in the hopes that we will pass it along to prospects.

Miscellaneous
  • Denise Henderson was featured in Washington Business Journal. The subject of the feature was the one thing you'd tell employees as an HR professional.
  • To increase the networking in the hallway (both for sponsors and in general), we will be trying as cash bar for a few months. This will be open during the first approximately 45 minutes.
  • The issue of a Chapter laptop was discussed. NLU has provided one for our Prep class, but it isn't reliably available (or reliable). We could also use it for speakers and/or for the SHRM presentation in the hallway during networking. Chas Sumser volunteered to research pricing and specs.
  • The next Board meeting is scheduled for April 3rd (not 10th) at Artel. Lisa Forester will be bringing food.
