DULLES SHRM BOARD MEETING MINUTES

Agenda:
The meeting was called to order at 6:05 pm.
Minutes
Amy Lourenco moved and Lisa Forester seconded the approval of the minutes for March 2006. The motion passed unanimously.
Communications
Denise Henderson distributed a list of goals for 2006. The three main headings were Newsletter, Website, and MailerMailer. Topics discussed included:
- Reminders to all of the deadline for the newsletter (the Friday before the Chapter meeting)
- Whether to add list of Board members (along with contact info) to the newsletter (consensus yes)
- Request for all Board members to let her know of outdated or incorrect info on the site
- Discussion about changing colors, layout - suggested holding off on these until we get all content and mechanical issues squared away
- Addition of "Write Your Elected Officials" link (to SHRM National's section) and SHRM webcast link to our home page
- Desire to work with Evelyn Kaiser to update Diversity Section
- Possibility of adding FAQ section (including prices, types of meetings, etc.)
- Concern about sending too many MailerMailers -- need to set consistent guidelines.
- Archive of old newsletters and minutes on site - do folks know this?
- Query on how things are working with Andrew (new webmaster) -- working OK, but wants to get better ETAs from him on changes requested
- Reminded us to keep the budget in mind when requesting changes (she is doing as much as possible herself content-wise to keep costs down). She will be purchasing the DreamWeaver software when she returns from vacation.
Legislative
Judy Carter discussed plans for 2006, including two reports at Chapter meetings and 2 newsletter articles (which she has already surpassed). She plans on attending the state legislative conference. She utilized MailerMailer to communicate the state's "paperless payroll" issue. She believes that the link from our site to national's legislative letter writing will increase our participation in this program. She mentioned that recertification credits are available for writing to Congress (& will publicize same). We discussed the Capital Hill trip & whether it should be every year or every other year. Last year's participation was low (but it wasn't publicized well and was the same month as several other events). Kurt Cowles mentioned that his son is an intern for Senator Kennedy & that perhaps he could arrange a tour. Judy Carter will work with him to get more info.
Diversity/Education/Workforce Development
Evelyn Kaiser distributed goals with the heading of "connecting members with the community to empower the 21st century workforce." We will be continuing to provide info to our chapter via community speakers and providing resources on the website. Evelyn Kaiser will be encouraging folks to share their "success stories" and provide presentations for other groups. She will be seeking volunteers for community organizations and especially focusing on ethics in the schools & presentations on same. Work opportunities and paid/unpaid internships for persons with disabilities will be sought. Finally, we will begin to document our community outreach activities with an eye toward achieving a Pinnacle Award. We talked about "expanding opportunities for the non-traditional workforce" as a working title and the need to be succinct with our goals.
Student Chapter Liaison
Nidhi Kanungo reported on presentations at area schools (George Mason & George Washington) by chapter members. She's made no headway with National Louis or Strayer. She suggested asking college students to help with Evelyn Kaiser's high school ethics program. She noted that the NOVA Chapter gives free meeting attendance to five (5) students each month. (NOVA reports that they often do not have that many students attend.) We discussed whether/how to implement this idea. What is the definition of student - FT student at an accredited university? Should we have them "work" by being at the registration desk? What is our goal here and is it worth $125/meeting? Amy Lourenco brought up offering free meeting to our unemployed members (in addition to or instead of students). We discussed offering one (1) student per meeting free attendance to see how it works.
Chapter Operations
Laptop
Chas Sumser researched and found a Dell laptop to be used for the certification study group (as well as for other chapter uses). The cost is under $600 with no software (but we can download a PowerPoint viewer for free). MS Office standard edition is approximately $400, but we don't think we need this. We discussed whether to look into a wireless connection (approximately $30). The laptop is needed by July at the latest.
Mary Saily moved and Denise Henderson seconded a motion to authorize Chas Sumser to spend approximately $600 + tax to purchase a laptop for the Chapter. The motion passed unanimously.
Speaker/Microphone System
Mary Walter Midkiff reported that our current system doesn't work at all. Steve Mack researched a speaker & handheld mic system for us and the cost is approximately $700. Renting from the hotel costs approximately $150/meeting, so we can recoup purchase costs quickly. Steve will train several folks on the set-up and use of the system.
Amy Lourenco moved and Mary Saily seconded a motion to authorize the purchase of a speaker and handheld microphone system for approximately $700. The motion passed unanimously.
Speaker Gifts
We will need to purchase speaker gifts in the next little while. Mary Saily and Mary Walter Midkiff will discuss whether to continue to purchase gifts from Tiffany's or to do something different.
Fiscal Review
Kurt Cowles commended Sarah Cower on the comparative budget review she prepared. He suggested that everyone that report to ensure that all expense categories are in-line relative to the current point in our fiscal year.
Tax Exempt Status
Maggie Chan reported that we cannot piggy back on National's tax exempt status. We decided that it isn't worth the fees, time & effort to apply for 501(c) status on our own because we do not spend enough on purchases to bother.
Member Information
Maggie Chan confirmed that, although National does sell our names, titles and addresses, they do not sell phone numbers or e-mail addresses. We need to be consistent with their practice when we sell this info to sponsors.
Meeting Procedures
Wine and beer cash bar will continue to be offered during dinner meetings. All doors to salon will be closed until 5 minutes prior to meal start time. Lisa Forester will run raffles & drawings. Business cards will be given to sponsor, not speaker.
The meeting was adjourned at 8:08 pm.
